Facilities Use Procedures

Metropolitan Nashville Public Schools has control and supervision of all school facilities in Davidson County and grants the temporary use of them to others as provided herein. The principal has custody of school facilities assigned to them by the Board of Education and must have knowledge of the group requesting the facility and personally approve the organization.

Approval of the principal may be sought prior to filling out the online facility use application.  However, per board policy, no use may occur until the Facility Use application and all supporting documents have been received, reviewed, and approved through the online facility use system.  Principal approval is a step in the review process through the online facility use system.  Use of facilities by the schools and by school-related organizations shall take precedence over all other uses.  Community events are subject to cancellation after approval if the school needs the space for their conflicting school-related event.  Cancellation notice will be given as soon as possible.

Organizations using school facilities are responsible for the proper conduct of all persons attending the event and for the immediate restoration of school property in the event of any damage. All users must sign an indemnification and hold harmless agreement.

Recognized nonprofit, civic, and church groups may use school facilities for single engagements if such activities do not interfere with school use and have been approved through the online application for facility use.

No signs may be permanently placed on school property. Temporary signs promoting an event may be displayed 24 hours before the event and must be removed immediately after it concludes.

The Facilities Use application, along with all required documentation, security deposits, and custodial fees (if applicable), must be submitted through the online facility use system no later than 14 days before the event date.

Rental Use of School Facilities

A rental fee schedule applies to MNPS facility use. In addition to rental fees, all groups are responsible for the actual costs of custodial and cafeteria services. Fees are listed on the request form.

Cafeteria Services

When a school kitchen or its equipment is used, the group must use MNPS Nutrition Staff and will be charged $20–$40 per hour, per employee.

Custodial Services

Custodial services are required for facility use after hours, on weekends, holidays, or during summer. The fee is $35 per hour with a 4-hour minimum.

Conditions Governing Use of School Facilities

• Use is allowed only for nonprofit groups.
• No outside group may begin activities until school is dismissed and students have left the building.
• Activities are canceled or postponed when schools are closed due to weather or other emergencies.
• Groups may not tamper with electrical or heating controls.
• No alcohol, drugs, gambling, tobacco products, or profane language are permitted on school property.
• The event organizer is responsible for attendees' conduct and must ensure activities stay within designated areas. Violations may result in future denial of use.
• All groups are liable for any damage or loss resulting from their use.
• Groups must provide a Certificate of Insurance which will be submitted during the online application process.
